I. Scorecard Presentation
Drs. Willette and Chwialkowski provided a demonstration of the electronic scorecard. They demonstrated the wide range of data that will be available and the variety of ways it can be customized and presented.
The departmental chars and medical directors will need to decide how much information will be made available to clinical faculty. Many members of the Committee indicated the value in allowing faculty providers compare their individual statistics with their peers. Many felt access to this data will give the physicians the information and incentive to make positives decisions regarding their clinical business.
Dr. Rutherford explained that a user’s manual is being developed by Dr. Willett and Judye Gremm that will help faculty and administrators navigate the scorecard. Dr. Willett will be leading training sessions over the next two months.
The Medical Directors were reminded that access to this sensitive information will require responsibility to use it professionally.
It was observed that while faculty should only have access to their individual data and that of their department, it will be interesting for everyone to see generalized data for the practice as a whole. It was also observed that this data will allow the practice to better negotiate managed care contracts.
The members agreed that it would be valuable to continue demonstrations and discussions on the scorecard at the next meeting on December 12th. It was hoped that faculty who have been participated in training will be able to comment on their observations of the product.
Drs. Willett and Chwialkowski will be asked to return for the next meeting.
II. Friday, December 26th Clinic Staffing
Cindy Lochte reviewed the plan for clinic staffing on Friday, December 26. It has been agreed that each clinic will be staffed to handle patient emergencies and urgent phone calls on that day. Clinics will be staffed with one person to handle the phones, one nurse, and one physician. Staff working on December 26th will be given another day off for the holiday.
The clinics will provide Cindy Lochte with a front office phone number and a phone number at their nurses’ station where calls to the clinic will be directed. Telecommunications will program the clinical phones to direct calls to these lines appropriately, and send any overflow calls to the CTCS operators.
The programming that Telecommunications will be providing for December 26th can be used for subsequent ice days, which will be very useful in the future.
Patients will be alerted that the clinics are open for urgent needs only and that normal clinic hours will resume on Monday, December 29th.
III. Clinic Managers and Medical Directors Executive Committee
Dr. Rutherford provided the Committee members with the names of those Clinical Mangers and Medical Directors who will comprise the first Executive Committee of the Clinical Operations groups. Members meeting availability is being collected and the first meeting will be scheduled shortly.
The next meeting of the Medical Directors Clinical Operations Committee is scheduled for Friday, December 12, 2003 from 7:00 – 8:30 a.m. in the B12 conference room.
