Information Resources offers advanced Acrobat Professional training
Since the renewal of our Contractual Licensing Program (CLP) with Adobe last September, Acrobat Professional has proliferated. To support this new interest, Information Resources Client Services Division will conduct training classes in Adobe Acrobat Professional beginning in Feb. 2006.
The classes will be broken down into various modules, allowing attendees to explore the topics that most interest them. The cost for the class will be comparable to other classes offered by Client Services.
The first module will be presented on Feb. 16, 2006, in Room DC1.204 from 1 p.m. to 4 p.m. The full class schedule will be published on the campus's Employee Training Opportunities page at http://UTSouthwestern.edu/training when it is available.
Even if you are familiar with older versions of Adobe Acrobat Professional, the latest version (Version 7.0) offers numerous interesting features, such as the following:
- Extended commenting capabilities
- Adobe LiveCycle Designer, which allows you to create PDF forms that look like the paper forms they replace
- A built-in PDF document organizer
- Improved attachment capabilities, which allow you to attach source documents such as spreadsheets, multimedia files, images and drawings to an Adobe PDF document.

SciFinder Scholar 2006 upgrade available
SciFinder Scholar (SFS) 2006 is now available for PCs (the Mac version is coming later). SFS provides graphical access to not only MEDLINE back to 1950 but also the databases of Chemical Abstracts Service (CAS) back to 1907, and it covers the full spectrum of chemical and biomedical information.
The new release includes powerful features:
- Structure similarity searching (substructure module)
- New structure and reaction query tools
- Variable Attachment Position tool
- Repeating Group tool
- Easy access to additional reaction information
- Enhanced multi-step reaction display
- New quick look-up of research references
- Remove duplicate references from your Chemical Abstracts (CAplus) and MEDLINE reference answer set
(Note: SciFinder Scholar 2002, 2004 and 2004.1 versions will be retired by CAS on March 31, 2006. Please plan your upgrade now.)
Unlike other databases available through the Library's home page, the SFS software must be downloaded to each user's computer before the database may be accessed. To apply for SFS download and access, fill out the Web form at http://www4.utsouthwestern.edu/library/feedback/sciFinderForm.cfm. You will receive download instructions via email by the next working day.

Information Resources updates the Inter-Institutional Access Request Form
Information Resources (IR) System Account Management (SAM) group has been working with the Development group on a new Web version of the Inter-Institutional Access Request (IAR) form. This form is used to request system access to UT Southwestern systems.
The new Web IAR form will simplify completion of the form, automate the process and improve the accuracy of the submitted information. The Template IAR form (i.e., paper) will be discontinued on Dec. 31, 2005, so all requests will be completed online effective Jan. 1, 2006.
Instructions are posted on the IR home page at http://UTSouthwestern.edu/ir . The new form can be accessed from the IR home page under Information Security Forms. The new Web IAR will also be available on the iAim Web site. The requestor can log on to the iAim page with their SouthwesternID and password, select forms and then click on IAR.
Anyone with a valid UT Southwestern person number can request access for themselves. Once the form has been submitted by the requestor, it will automatically route to the employee's departmental approver before being sent to the SAM group for processing. An email notice will continue to be sent to the requestor when the IAR form is completed.

Information Security departmental reviews
The Information Security Division of Information Resources (IR), working in conjunction with the Internal Audit and Institutional Compliance Operations offices, is responsible for ongoing evaluation of information security safeguards. To accomplish this task, the Information Security Division will conduct reviews of each department at UT Southwestern. A team of reviewers will evaluate the information security posture of each department, and Information Security will notify each department in advance of its review.
The review period will extend through Dec. 31, 2006. The safeguards evaluation categories include:
- Administrative evaluations, which may include (but are not limited to) the following:
- Procedure documentation
- Policy and procedure compliance
- Security awareness training program
- Security risk assessment program
- Information access management procedures
- Audit log review procedures
- Physical evaluations, which may include (but are not limited to) the following:
- Workstation security
- Host system security
- Data center security
- Media security
- Technical evaluations, which may include (but are not limited to) the following:
- Application access control features
- Wireless security and access point discovery
- Audit log configuration
- Anti-virus systems
- Patch Management
- Information Technology recovery procedures
- Data backup procedures
- Software licensing compliance
- Modem discovery
- Password management
Risks identified as a result of the security evaluation program will be managed in accordance with risk management procedures. In brief, an evaluation will be performed, and if areas for improvement are identified, an acceptable timeline for remediation will be established according to the associated level of risk. For all departments reviewed, the Information Security Division will provide a report that explains the findings and includes advice to improve security.
The ultimate goal of the security review program is to keep the university's information confidential, accurate and available for use at all times. The cooperation of the departments will make this goal attainable.

Library improves access to ejournals and Web site searching
The library introduced a new list of online journals — Ejournals A to Z — in November 2005. A comprehensive list of all UT Southwestern licensed titles, Ejournals A to Z alphabetically lists all available biomedical, academic, and general interest ejournals.
Improvements include the display of multiple sources for each journal title with specific information about the years covered for each source. This makes it very easy to locate the correct site for specific journal issues.
With Ejournals A to Z, users may either browse an alphabetical list of titles or subjects or use the multiple search options. Searchable from the library's new multi-option search engine, Ejournals A to Z also has an Advanced Search function that allows precise searching by:

Also, the library Web site search box has a new multi-search engine feature. The default search is "Library Site" which searches the entire library Web site, including Library News. However, by clicking on the drop-down box, you can search specifically for Ejournals, Library Catalog, Ovid MEDLINE, PubMed or Scopus.

Lights, Camera, Action!
Client Services, a division of Information Resources (IR), recently purchased new software — Camtasia Studio 3.0 — that now allows streaming video (i.e., voice narration plus mouse movements) to be included in e-learning sessions.
Our free e-learning sessions have always been designed so that you can learn at your own pace at a convenient time for you. Now the newer sessions offer a choice of two styles: "Watch it" (for those who learn best by hearing and seeing) or "Read it" (for those who learn best by reading).
Watch it - The "Watch it" sessions have been recorded with audio and mouse movements. They require certain computer playback features (Windows Media Player, computer speakers, and Internet Explorer), which are typically available across campus on standard workstations and the workstations in the St. Paul E-learning Center in Room HA0.246.
Read it - The "Read it" sessions require only a Web browser and Adobe Acrobat Reader, which are available on most workstations including standard workstations, clinical workstations, hospital managed workstations, and the workstations in the St. Paul E-Learning Center in Room HA0.246. The "Read it" sessions offer the advantage of "quiet" e-learning for clients located in public areas where an e-learning session involving computer speakers might be distracting.
To access these sessions, go to IR's e-learning home page at http://utsouthwestern.edu/elearning and look for the "Watch it" and "Read it" flags. Click on an e-learning session link, complete the simple registration form, and pick the learning style that works for you if a choice is offered. (Older "Read it" sessions will be updated with "Watch it" options in the future as time permits.)

Methods in Molecular Biology in NetLibrary
More than 40,000 eBooks are available through the library's subscription to NetLibrary, and this now includes the full text of more than 100 titles within the Methods in Molecular Biology book series.
Methods in Molecular Biology presents extensively detailed procedural descriptions on conducting research within specific subject areas. The books are able to provide greater detail than might be contained in the standard research literature by describing potential problems that might be encountered during the research process as well as how to identify and overcome those problems.
To access NetLibrary, click on the NetLibrary link on the library's home page (under "Books/Journals"). Faculty, staff, students, residents and fellows of UT Southwestern and the UT Southwestern University Hospitals are eligible for personal account access to NetLibrary, which entitles them to use available books from on- or off-campus. Registration for the personal account may only be completed from on-campus locations at http://www.netlibrary.com/CreateAccount.aspx.

Information Resources unveils a new version of the NetStorage Web interface
NetStorage is the application that lets you access your Mednet files using a Web browser. It can be used anytime and anywhere a Web browser is available with no need for Virtual Private Networking (VPN) software.
A new version of NetStorage has just been released. Some new features include the following:

Upload or download multiple files or folders. Downloading of multiple files will zip up all the checked files.

Sort ascending or descending by filename, size or modified date. Click the header text to sort, or use the menu.

Filter (top right corner) for viewing only files/folders matching a pattern, such as "a*." This only filters the current folder; it does not search subfolders.
-
View file properties. Amount of detail will vary, due to different file systems on our various servers. Files on the W: & S: drives have full details while files on the O: & X: drives have minimal details.
The application that allows you to access your GroupWise e-mail via the Web is expected to be updated soon.

Library offers Harrison's Principles of Internal Medicine online
Harrison's Principles of Internal Medicine is available online from the library's Web site: just click on the "Harrison's Online" link under the "Medical Reference" heading. This will take you to the ACCESSMedicine version of Harrison's , which is continually updated. (Ten concurrent users are allowed from on campus or via VPN, but only two seats are available for remote users accessing via username and password. More information about VPN is available at http://www8.utsouthwestern.edu/utsw/cda/dept26053/files/56032.html .)
A non-updated copy of Harrison's 16th edition is also available from STAT!Ref, for which there is also a link under the "Medical Reference" heading on the library's Web page, as well as remote access via VPN. (The library shares a statewide pool of 25 STAT!Ref seats.)

ACCESSMedicine is easy to view and navigate and may be used in conjunction with a personal digital assistant (PDA). It can also be personalized (after free registration). In addition to Harrison's , ACCESSMedicine has other medical textbooks with similar features.

News from Information Resources
SouthwesternID password updates
Beginning in January 2006, there will be new length and complexity requirements for SouthwesternID passwords. This is necessary in order to comply with UT Southwestern's Information Security Policy #200-07.
The minimum length for passwords for all SouthwesternIDs created since January 2005 has been seven (7) characters. This requirement will now be applied to all SouthwesternIDs. The complexity policy, which has not previously been applied to any accounts, will now go into effect for all accounts as well. This means that passwords will have to contain at least one alphabetic character and at least one numeric character.
These changes will be phased in over a period of about two months, on a server-by-server basis, much like last year's program to convert GroupWise accounts over to use SouthwesternIDs. Watch the Information Resources (IR) home page at http://UTSouthwestern.edu/ir for the schedule.
Password Resetting video updates
IR has recently updated its video entitled "Self Service Password Resetting." This video is shown to new employees at orientation and may be viewed on the Web using a link on the IR home page at http://UTSouthwestern.edu/ir in either Windows Media or QuickTime formats.
The changes eliminate statements that the answers to "secret questions" are case sensitive, which is no longer true. They also reflect the newly implemented home page for the iAim Web site at http://iaim.swmed.edu.
ISA must be accepted annually
IR reminds you that it is now necessary for all faculty, staff and students to accept the UT Southwestern Medical Center's Information Security Agreement (ISA) online and to renew that acceptance annually. The current renewal period ends Dec. 31, 2005.
Access will be suspended for users who have not completed their acceptance of the agreement by that time. The process is very simple and takes only a few minutes. See the IR home page for instructions.

News about library collections
Methods in Enzymology now online; Library's print copy discontinued
The library's full-text online subscription to Methods in Enzymology (volume 1 to the present) has proven so popular that the library has discontinued its subscription to the print copy. Volume 396 was the last volume received in print.

Cochrane Databases now on Wiley
The Cochrane Databases — key for supporting evidence-based practice — are now available through the Wiley interface. This includes the Cochrane Database of Systematic Reviews. They are no longer included in the library's subscription to the Ovid suite of databases.
A link to these databases is provided on the library's home page, under "Search Databases."
Print current-year journals moved
As electronic versions of journals increase in popularity, the use of print copies in the library has declined. So, we now subscribe to fewer journals in print, which reduces our costs.
This change has prompted the consolidation of the current-year journal display area on the south campus (main) library's main floor. The current-year issues have been condensed into three stack ranges, down from the 10 ranges they previously occupied.
Trial access to Cell Metabolism
The library has acquired trial access to a new journal — Cell Metabolism — through Elsevier ScienceDirect. Cell Metabolism is a new addition to the Cell Press suite of heavily used, high impact journals that covers the full spectrum of basic and translational research in adipogenesis, obesity, diabetes, cardiovascular disease, hypertension, aging, nutrition, mitochondria, hormone receptors, cell signaling and more.
The editorial staff of the journal includes several prominent UT Southwestern faculty members, and the library has received numerous requests for access. A list of editors is available at the Cell Metabolism Web site at http://www.cellmetabolism.org/misc/page?page=editors.
Several libraries within The University of Texas System have expressed interest in this new title so the UT System Digital Library is working to obtain a shared price quote for all UT System components. The UT Southwestern library intends to find a way to fund this quote when it becomes available.
In the meantime, trial access to the journal has been established, and we hope to move from the trial access to a paid subscription without any disruption in service. However, we do not have specific information about a start date for the official subscription.
