New copy/print card system arrived May 22

On May 22 the Library launched its new copy/print card system, which offers several improvements over the previous system. As of May 22, old photocopy cards no longer function.

The most significant improvement is a single new card that replaces both credit/account cards and debit/cash cards. Clients will now be able to print and copy from all library computers and photocopiers with a single card.

To ensure that you are able to make use of the new system, please note the following:

  1. Credit/account card holders: Account holders have been issued new credit/account numbers, and new copy/print cards have been sent to them. Please contact your account holder or departmental administrative assistant for more information.
     
  2. Departments using debit/cash cards: A 30-day exchange period began Monday, May 22, during which old debit/cash cards may be exchanged for new ones. Just bring your old card to the Library administration offices (E3.314) during regular business hours (Monday to Friday, 8 a.m. to 5 p.m.), and a new card will be issued.
     
  3. Individuals with debit/cash cards: Holders of debit/cash cards are asked to exchange their cards for new ones in the Library administration offices (E3.314) during regular business hours (Monday to Friday, 8 a.m. to 5 p.m.). Any cash value on the cards will be converted in the exchange. Exchanges are available evenings and weekends at the south campus (main) Library's information desk.
     
  4. Students using ID badges: Students who currently have value on their badges should come to Library administration offices (Monday to Friday, 8 a.m. to 5 p.m.) to have their badges reset to work with the new system. Any cash value will carry over.

With this new copy/print card system, only one card dispenser is available, and it is located near the south campus (main) Library's information desk. As before, cards may be purchased from and revalued at the dispenser, which now accepts the redesigned $10 and $20 bills.

The Library recognizes that the single card dispenser may be an inconvenience for our north campus clients. We are investigating methods for exchanging and/or purchasing cards at the north campus library.

More about self-service password resetting: workstation issues

In the previous issue of Information Times, we told you of planned changes to the Self-Service Password Resetting application that would reduce the number of "secret questions" you would have to answer to reset a locked or forgotten password. Those changes are now in effect.

Another consideration that's important to understand when you need to reset your password (or have someone do it for you) is your workstation password. Information security policy requires that your workstation be protected with a non-blank password. Resetting your password (whether you do it yourself, have the IR Call Center do it for you, do it through GroupWise, etc.) does not change your workstation password.

Some departments have rules governing workstation passwords to allow for effective administration of workstations within the department. Ask your supervisor or department admin about your department's preferences for workstation passwords.

If your department lets you decide for yourself, we recommend that you don't synchronize your workstation password with your SouthwesternID password. Although this means you'll have to use two passwords when you boot your workstation, it allows you to get the most benefit from Self-Service. Since it's not necessary to change your workstation password periodically, you can choose a password that you'll always remember. You can then reset your SouthwesternID password whenever necessary without affecting your workstation password.

If you choose to synchronize your passwords, then whenever you boot your workstation, you'll only have to enter one password to log on to the network and the workstation simultaneously. But a forgotten password will require a visit to your workstation by a PC technician because, even if you reset your SouthwesternID password, you still won't have the forgotten password to access your workstation.

If your SouthwesternID becomes locked (but not forgotten), you can reset it, but it will cause a mismatch with the workstation password. After you log in to the network, you'll get a separate prompt asking you for the workstation password. When this happens, you should use your previous SouthwesternID password. If you wish, use the check-box to re-synchronize the two passwords.

Library acquires subscription to BioMedProtocols

The Library is pleased to announce that access to BioMedProtocols — the online database of peer-reviewed biological and biomedical research protocols from the popular Methods in Molecular Biology and Methods in Molecular Medicine book series — is now available. Faculty, staff, students, residents and fellows of UT Southwestern as well as employees of UT Southwestern University Hospitals may now view the contents of more than 12,000 protocols.

To access the protocols, go to BioMedProtocols at http://www.biomedprotocols.com or click on the link under the "Science Reference" section of the Library's Web site and do the following:

  • Search for and select a book.
  • Click "Read Now."
  • Select the chapter to download.
  • Click "Read Now."

Users may search the full text of more than 125,000 pages of information by keyword, author or title and within protocol summaries. Both book series are indexed and abstracted in MEDLINE, and full-text links are available from within PubMed directly to the article on BioMedProtocols.

Subject areas for which protocols are available are:

  • Biochemistry
  • Biotechnology
  • Genetics
  • Informatics
  • Microbiology
  • Molecular and Cell Biology

Information Resources places new AV equipment in D1 classrooms

Instructor's Computer Workstation in D1 Classroom     Presentation Screen in D1 Classroom

Now clients can reserve the small D1 classrooms through Classroom Scheduling without having to reserve audiovisual equipment. All of the equipment is ready for use and a handy reference card will instruct you how to switch from the in-room computer to the external laptop connection to the DVD/VCR combo for viewing from a ceiling-mounted graphics projector with external speakers. Each system has a 15" Dell flat panel display.

A podium has been installed in D1.200 with a microphone and a lavaliere. D1.100, D1.102, D1.104 and D1.106 do not have PA systems. Clients needing equipment not included in the rooms can call 214-648-3695 for assistance. Please contact Media Technology if you need to use these rooms outside normal business hours.

Science Express offers selected full-text articles in advance of print

The Library has subscribed to Science Express, a new service from the American Association for the Advancement of Science (AAAS) that provides access to selected papers from the journal Science in advance of the print issue. This resource is available for all UT Southwestern faculty, staff, students, residents and fellows and employees of UT Southwestern University Hospitals.

Each week, the editors of Science select several articles that have been accepted for publication in print to appear in Science Express (in PDF format). This means that selected articles will be made available to the scientific community up to four to six weeks earlier than they would have previously, which allows both authors and readers an opportunity to share information more quickly.

Papers for Science Express are chosen from all fields of science based on the timeliness of the research and its importance to a specific field.

Science Express may be accessed through the Ejournals A to Z list on the Library's Web site at http://www4.utsouthwestern.edu/library, or one can go directly to the Science Express index at http://www.sciencemag.org/sciencexpress/recent.dtl.

We can get you that elusive publication!

With more than 30,000 electronic journals, more than 5,000 print journals (most inactive), and a book collection of more than 84,000 titles, the UT Southwestern Library has extensive information resources. However, you may need a journal article or book that we don't own.

In that case, the Library's interlibrary loan (ILL) unit may be able to either retrieve a copy of a journal article or borrow a book for you from another library's collection.

To request an ILL, simply go to the online interlibrary loan system at http://illiad.library.swmed.edu/. Experienced users should login with their username and password; new users are required to register and will need to provide their 14-digit Library bar code number as part of the registration process.

After logging in, you'll be taken to a page where you type the information describing the journal article or book you want. For journal articles, the following information is required: journal title, volume number, year and page numbers.

Charges for ILL service are:

  • For regular delivery (two to four weeks) the cost is $3.50 for affiliated clients, which include faculty, staff and students at UT Southwestern, and staff and residents of UT Southwestern affiliated hospitals. Note: There is no charge for students, residents and fellows.
     
  • For "Rush" service (by the end of the next business day), the cost is $15.00 for all affiliated users.

Costs are higher for unaffiliated users: $9.00 for regular delivery and $60.00 for "Rush" service.

IR doubles your free allocation of personal network drive space

Example of Disk Space OptionsWhen is the last time you backed up your local hard drives, or even your "My Documents" folder? Well, as it happens, you don't need to do that. Information security policies and infrastructure at UT Southwestern provide for you to keep your documents, data and other files on network drives, and not on your local hard drives. It's easy to store and retrieve files on network drives such as your Mednet "O-drive" using Windows explorer, and other applications like Word or Excel. It works just like opening or saving files locally, as in the picture to the right.

Space is available for personal use and for shared use with others in your department or group. We have increased personal space allocations from 500MB to 1GB. Shared space will remain at 100MB times the number of users in the group for now. Remember, too, that you should avoid attaching files to email when you can put them in a folder you share with the intended recipient.

We back up network drives regularly. We store the backup tapes at a remote site. We scan the drives constantly for viruses and other pests. We keep the software on the servers up to date, and we keep those servers in a secure environment. You can access your network drive remotely using a Web browser. If your PC or laptop fails or is stolen, data on the network drives is not lost or compromised. Remember, your data really belongs to the people of Texas. It's your responsibility to protect it in accordance with UT Southwestern's information security policies.

Library offers President's Lecture Series on VHS and DVD

If you were unable to attend one of the first three lectures in the President's Lecture Series, VHS and DVD copies of each session are available for checkout from the UT Southwestern Library.

All copies can be found in the south campus (main) Library's educational technology laboratory (Room E2.222).

Their findings led to the development of statin drugs, the cholesterol-lowering compounds used in medications to lower cholesterol levels, which has reduced the risk of heart disease and stroke for countless people.

    Description: Each of the 10 surgical faculty members — Duke Samson, Bruce Mickey, Howard Morgan, Kevin Morrill, Jonathan White, Michael Miner, Caetano Coimbra, Christopher Madden, Tony Whitworth, and Robert Replogle — has focused his practice on a specific area of neurosurgery, such as diseases of the brain's blood vessels, unusual tumors of the spine, brain stem and skull base, and functional diseases such as Parkinson's disease and epilepsy. In addition, the department has developed an international reputation for the management of extensive trauma of the spinal column, nerve pain in the face, and inflammatory diseases of the spine, including advanced rheumatoid arthritis.

Information Resources offers quarterly maintenance program

IR's Client Services Division offers a quarterly maintenance (QM) program designed to help you keep your computers safe from viruses and other pests, current with the latest software updates and patches, and compliant with UT Southwestern information security policies. What a periodic oil change and the associated "14-point inspection" do for your car, our QM program will do for your computers.

Here's what we'll do during your regular quarterly service visit:

  • Check BIOS and update if needed.
  • Check Sophos and install if needed. Make sure it is active and current.
  • Check Pest Patrol and install if needed. Activate automatic protection and set up a scheduled scan.
  • Check to make sure proper log on security is being used per security audit.
  • Check to make sure that Windows updates are being applied. Updates will be applied if needed.
  • Audit the software presently installed on the computer and provide a list of that software to the user and the department administrator. (It is your responsibility to verify that the software is licensed.)

During the service visit, we may find issues that need additional attention. If you want us to address these issues, our regular fee schedule will apply. For example, you may want us to:

  • Clean any virus found during the service call.
  • Clean any spyware or other pests found during the service call.
  • Repair any hardware problems found during the service call.
  • Install or remove any software other than that specified in our list of QM program services, above.

The quarterly price for service under the QM program is $37.50 per computer for one to five computers. For six or more computers, the price is $18.75 per computer.

We also offer the QM program as an annual agreement. If you purchase an annual agreement, there is no charge for service calls between scheduled visits. Service calls may include any listed services except software audits. Software audits are only performed during the scheduled quarterly service visit.
